Getting started with CounterList AI

Setup takes about ten minutes. After that, a part goes on Facebook Marketplace in about one — the extension fills the form from your sheet and the manufacturer’s catalogue, you press Publish.

Sign in

  1. Your admin gives you a work email and a temporary password.
  2. Go to counterlist.ai and click Sign in.
  3. Enter your email and the temporary password, then click Enter Console.
Change it now: Settings → Account Security. Ten characters or more, and use the same one in the Chrome extension.
One computer at a time: your login works on one computer. Signing in somewhere else signs the first one out. That is deliberate.

Install the extension

The extension is what fills Facebook’s form. Once, per computer.

  1. Unzip the folder your admin sent you.
  2. Open Chrome at chrome://extensions and turn on Developer mode (top right).
  3. Click Load unpacked and choose the extension folder — the one containing manifest.json, not dist.
  4. Click the puzzle piece in Chrome’s toolbar and pin the red wrench icon. Click it and sign in with the same account.

Get your parts in

Four ways; use whichever fits the part in front of you.

Upload your sheet

Parts → Upload sheet. CSV or Excel, with whatever column names you already use. It works out which column is the part number, the name, the fitment and the price, tells you what it matched, and lists any row it skipped with the reason.

Add by part number

Parts → Part number. Type an OEM part number such as VKEST4025 and it pulls the name, what it fits, the category, the manufacturer’s list price and the official catalogue photos. You set your own price.

Capture from a web page

On a part’s page on your parts site or the manufacturer’s catalogue, open the extension and click Capture part from this page. It reads the part number, name, price, fitment and photos; you check them and click Add to inventory. The part lands as a Draft.

Add by hand

Parts → Add part, for anything the catalogue does not carry. Edit any part to upload your own photos — or use Phone photos: one QR code per shift, take photos on your phone, then drag each onto its part.

No price yet? Leave it empty. The part shows No price and the listing form leaves the price blank for you. Never type a placeholder — a $0 listing is worse than an empty field.

Write the listing

  1. Parts → the red wand on a part’s row.
  2. Pick a tone, tick the selling points, click Generate.
  3. Read it. Edit anything you’d say differently, then Save.

It writes the title, description, highlights and search tags from that part’s own facts: the part number, what it fits, the condition, what is included. It does not invent fitment, contents or prices.

If the writer is busy you still get a complete, factual listing built from your sheet — you are never blocked from posting.

Post a part

  1. Parts → the Facebook button on the row (or the extension popup → Post).
  2. A Facebook tab opens on the Item for sale form and fills photos, title, price, Category → Auto parts, Condition, description, SKU (the part number) and product tags.
  3. Leave that tab in front while it fills. It works on the tab you are looking at, by design.
  4. A dark CounterList card appears beside the form with anything it could not fill. Click a row to copy it; Alt+C copies the next one. A row ticks green once the form holds your value.
  5. Read the listing. You press Publish.
  6. Once Facebook confirms it is live, click Mark as listed in CounterList on the card. The part goes Active with today’s date.
CounterList never presses Publish — that is always a person. If everything filled, you get a short confirmation instead of the card.

Keep the list straight

  • Sold it? The dollar button → Mark sold, then take the Marketplace listing down yourself.
  • Not actually listed? The undo button moves it back to Draft.
  • Active parts cannot be re-posted — that guard stops two listings for one part. Move it to Draft first if you mean to post it again.
  • Every action is recorded against your name, so the counter can see who listed what.

What each button does

The buttons on each part

Left to right. If a button isn’t there, it doesn’t apply to that part — a part that’s already listed has no “mark it listed” button.

Mark it listed. Press after you publish on Facebook — the part goes Active with today’s date.
Pressed the green check by mistake? Back to Draft.
Mark it sold when it sells — then take the Marketplace listing down yourself.
Marked it sold by mistake? This puts it back.
Edit the part — price, fitment, photos.
Delete the part. Managers only.

In the extension popup

Opens the Marketplace form and fills it with the selected part. You still press Publish.

Grey = signed out. Green = signed in and synced to your dealership.
What Draft, Listed and Sold mean: Draft = not on Facebook yet. Listed = it’s live on Marketplace. Sold = it’s gone, take the listing down.

Troubleshooting

Category is empty and Next is greyed out
Facebook’s category picker is a scrolling menu, not a dropdown. Click Category and scroll to Hobbies → Auto parts.
SKU and tags did not fill
“More details” was collapsed on Facebook’s form. Expand More details, then copy them off the CounterList card.
Nothing fills at all
Wrong page, or the form had not finished loading. Go to Marketplace → Create new listing → Item for sale, then post again. Keep the tab in front while it fills.
Some photos are missing
A photo fetch failed. The card says how many; add the rest by hand. Photos only attach automatically from the manufacturer’s own catalogue — another dealer’s photos are never copied.
It says “signed in elsewhere”
Your login is in use on another computer — one login works on one computer at a time. Sign in again here; that signs the other one out. If it keeps happening, someone else is using your login: tell your manager and get your own.
Price is empty
No price on the sheet — deliberate. Type it in; the card keeps the row until you do. CounterList never invents a price.
The AI writer says “at capacity”
The writer’s provider is rate-limited. You still get a complete, factual listing from your sheet — use that, or try again shortly.
The wrench icon is grey
Grey means signed out. Click it and sign in with your work email and password. If the popup looks stuck, refresh the page you’re on and click again.
None of that fixed it
In order: sign out and back into the extension → restart Chrome → try the same part in the dashboard’s Marketplace Filler (if it works there, the problem is the Facebook tab). Still stuck? Email support@owl360it.com with the part number and a screenshot.

FAQ

Does it press Publish for me?
Never. It fills the form; you review it and press Publish yourself. Nothing goes out under your name without your click.
Where do the photos come from?
From the manufacturer’s own accessory catalogue, by part number, where the brand publishes them — or your own photos. Never a stock image, never an AI-generated product photo, never another dealer’s photos.
What if there is no price on my sheet?
The part is flagged and the listing’s price is left blank for you. It is never set to $0.
Do I use my own Facebook account?
Yes — listings post from your personal Facebook, which is why buyers message you directly. CounterList never sees or stores your Facebook password; it works inside your own signed-in browser.
A part sold — what do I do?
Two things: the dollar button → Mark sold in Parts, and delete your Facebook listing for it.
Why did my login stop working on my home computer?
One computer at a time. Signing in at the dealership signed out your home computer. Sign in again wherever you are and that becomes your active computer.
I forgot my password
Your admin can issue a new temporary password in 30 seconds. Sign in with it, then set your own in Settings → Account Security.
